GRANDPARENTS BOOSTER CLUB MEETING

Minutes of May 13, 2008

Donna Shiver called the meeting to order at 7:05 pm on May 13, 2008 and welcomed all attendees. Donna Shiver led the group in prayer. Five members were present. Members attending were Donna Shiver, Mike Lumpkin, Gina Lumpkin, Sarah Kirkland and Marsha Humphries.

Treasury Report:

Gina reported the treasury information: Account balance $ 6,192.44. Marsha made motion to accept the treasury report and Sarah made second motion. Treasury report accepted. Can revenue to date this school term is $929.50.

Old Business:

April minutes were read. Gina made motion to approve and Sarah made second. Minutes were approved.

A parent has volunteered to be responsible for taking all can loads to Albany for recycling.

Strawberry baskets were delivered to school May 8th in observance of Teacher’s Appreciation Week.

Suckers are ready and will be presented to the children in their classrooms after kindergarten graduation.

A thank you note from Mrs. Becky Pinson was read thanking us for our donation to the Pre K Program.

Scholarship applications were reviewed and voted on by secret ballot. A $500 reward will be presented to the winner on graduation night.

Members were asked to think about new officers and positions.

We invite new members to come and be part of our club. Our next meeting will be a called meeting in late July to prepare for the next school term.

Minutes of April 08, 2008

 

Donna Shiver called the meeting to order at 7:00 pm on April 08, 2008 and welcomed all attendees. Mike led the group in prayer. Six members were present. Members attending were Donna Shiver, Mike Lumpkin, Gina Lumpkin, Pam Rucker, Sarah Kirkland and Cindy Everson. Glenn Palmer, BCCS football coach, was also present.

Treasury Report:

Gina reported the treasury information: Account balance $ 7,939.95. Cindy made motion to accept the treasury report and Sarah made second motion. Treasury report accepted. Can revenue to date this school term is $723.70. Can revenue this year is less than half the amount of last year’s total of $1,866.35. We encourage everyone to recycle cans for BCCS.

Old Business:

March minutes were read. Mike made motion to approve and Cindy made second. Minutes were approved.

Scholarship forms were given out March 30th.

Water for Field Day has been purchased and delivered to the school.

Suckers for kindergarten graduation have been purchased and reimbursement will be made to Cindy.

Senior graduation will be May 22. This year there are about 33 or 34 seniors.

New Business:

Teacher appreciation week will be May 5 – 9th. Donna will purchase and prepare strawberry baskets for all BCCS staff.

The Beta Club requested funds of $254 to purchase metals for Honor’s Day. Gina made motion to give $100 to Jr-Sr Beta Club for this project. Mike made second. Motion approved

Mr. Glenn Palmer requested $3,610.00 for the new football program. Since the track funds of $1,602.97 requested in November 2006 have not been distributed, we will transfer these funds to the football program. We will table the balance of the request until the April meeting.

Pre- K will be having a graduation program. Gina made motion to donate $100 for this event. Mike made second. Motion approved.

We invite new members to come and be part of our club. Our next meeting will be May 13, 2008 at 7:00pm in the school library.

Donna Shiver called the meeting to order at 7:00 pm on March 11, 2008 and welcomed all attendees. Donna led the group in prayer. Four members were present. Members attending were Donna Shiver, Norma Gilpatrick, Sarah Kirkland and Marsha Humphries.

Treasury Report:

Donna reported the treasury information: Account balance $7,524.95. Norma Gilpatrick made motion to accept the treasury report and Marsha Humphries made second motion. Treasury report accepted.

Old Business:

January minutes were read. Norma made motion to approve and Sarah made second. January minutes were approved. February minutes were read. Sarah made motion to approve and Norma made second. February minutes were approved.

Cans need to be hauled off. Donna will contact someone to request them to be hauled to the recycling site.

New Business:

The middle school staff are implementing an incentive program, Blazer Props, to reward students for good character and exhibiting model behavior. Students will have a chance to win big prizes. The middle school staff requested the grandparent’s club for funding of $150 for the grand prizes. Sarah made motion to donate $150 for middle school- Blazer Props. Marsha made second. Motion approved.

Field day will be Friday, April 11. Sarah will purchase the water needed that week for field day and deliver to the school. We will request Betty and Carole to ice the water bottles down.

Scholarship applications will be given out the first week of April and deadline for submitting application will be April 30. The scholarship recipient will be chosen at the May 13 regular grandparent meeting. Senior graduation is May 22, 8:00 PM.

We invite new members to come and be part of our club. Our next meeting will be April 8, 2008 at 7:00pm in the school library.

Old Business:

Highlights of January minutes were discussed. Official minutes will be read and approved in the March meeting.

New Business:

Suckers for Kindergarten graduation are ordered.

Donna will get an accurate count of the number of graduating seniors this year.

Gloria Haywood will take pictures of the tennis team and get pictures to Donna so we can use this as an example of one of our projects.

Glenn Palmer has not contacted us regarding his November 2007 request of funds for equipment and uniforms for the track team. The estimated $1,602.97 will be reserved until May 31, 2008;

after that date these funds may be used for other purposes.

New officers for the BCCS Booster Club will be voted for in May with new term beginning in July. Members were asked to begin thinking about officer positions.

Scholarship guidelines and applications were distributed. Members were asked to review and have suggestions for the March meeting.

Minutes of January 08, 2008

 

Sarah Kirkland called the meeting to order at 7:00 pm on January 08, 2008 and welcomed all attendees. Mike Lumpkin led the group in prayer. Seven members were present. Members attending were Donna Shiver, Norma Gilpatrick, Carole Pollock, Marsha Humphries, Sarah Kirkland, Mike and Gina Lumpkin.

Treasury Report:

Gina reported the treasury information: Account balance $8,049.59. Can revenue to date $308.70. Norma Gilpatrick made motion to accept the treasury report and Marsha Humphries made second motion. Treasury report accepted.

Old Business:

Minutes of November 13, 2007 were read by Marsha. Motion to approve by Norma Gilpatrick. Second motion by Gina Lumpkin. Minutes approved.

Can revenue is less than it was this time last year. One possible reason is because there are no soft drinks allowed at school for students. Also, a lower rate will be given if the cans are not clean or if they are combined with garbage. We discussed ways we can promote the can drive. Since we donated funds for tennis team uniforms, we will request a tennis team picture in their new uniforms. We can then use this picture to encourage students, teachers and the public to help us raise more can money and have more funds available for our school. In an effort to promote the recycling and sale of aluminum cans, a community announcement will be placed in The Camilla Enterprise.

The BCCS Beta Club requested funds to help with traveling expenses to attend the National Beta Club Convention in Atlanta on January 18, 2008. Marsha Humphries made motion to donate $300 for this project and Gina Lumpkin made second. Motion passed.

BCCS Grandparents club purchased a coffee pot for the teacher’s lounge in the school library.

Carole Holland contacted a member and reported that our coffee pot is not working properly. This is the coffee pot that we use at Fall Festival and is stored in our storage area.

We invite new members to come and be part of our club. Our next meeting will be February 12, 2007 at 7:00pm in the school library.

Minutes of November 13, 2007

 

Donna Shiver called the meeting to order at 7:00 pm on November 13, 2007 and welcomed all attendees. Mike Lumpkin led the group in prayer. Six members were present. Members attending were Donna Shiver, Norma Gilpatrick, Marsha Humphries, Sarah Kirkland, Mike and Gina Lumpkin.

Treasury Report:

Gina reported the treasury information: Account balance $9,737.13. Our Fall Festival profit was $3,407.16 which included donations of $250.00. Our expenses totaled only $304.34 for drinks and miscellaneous supplies.

Old Business:

Minutes of October 9th were read by Marsha. Motion to approve by Gina. Second motion by Norma. Minutes approved. The minutes can be viewed on the grandparent link on the BCCS web site.

The Fall Festival project was a success. The only suggestion was to make changes to the coffee and hot chocolate area next year to provide more safety from hot drinks. No accidents occurred; however, with children running around, it could be a potential safety hazard. Also, there needs to be more fives and tens for petty cash next year.

Thank you notes will be sent to Jimmy Woods, Chelsea Dudley Humphries, Clayton Bullard, P & C, Bank of Camilla, H & L Distributors, Robert Scott, Burger King and Parker Funeral Home. Also, we want to thank everyone who donated food, supplies and time at our booth.

New Business:

The BCCS Varsity Tennis Team submitted a written request for assistance with tennis uniforms. The price is estimated to be $1,600.00. Gina made motion to donate $1,600.00 to the Varsity Tennis Team for the uniform purchase. Norma made second motion. All in favor. Motion approved.

Glenn Palmer requested funds of $1,602.97 for the purchase of 3 pieces of equipment, storage shed and high school uniforms for the Track Team. Gina made motion to donate $1,602.97 for this purchase. Second by Sarah. All in Favor. Motion approved.

There have not been any further requests for funds from Jim Knuth for the next section of the obstacle course.

There will be no December meeting. Our next meeting will be January 8, 2008

Minutes of October 9, 2007

 

Donna Shiver called the meeting to order at 7:00 pm on October 09, 2007 and welcomed all attendees. Mike Lumpkin led the group in prayer. Ten members were present. Members attending were Donna Shiver, Norma Gilpatrick, Charles and Carole Pollock, Marsha Humphries, Sarah and Lamar Kirkland, Mike and Gina Lumpkin and Carole Parker.

Treasury Report:

Gina reported the treasury information: Account balance $6.233.16. Can revenue for the current year is $207.90.

Old Business:

Minutes of September 11th meeting were read. Motion to approve by Norma. Second motion by Carole Pollock. Minutes approved. The minutes can be viewed on the grandparent link on the BCCS web site.

The Fall Festival project was discussed in great detail. The menu/ price will be as follows:

Chile $1.50 Potato Chips .50

Cheeseburger 2.00 Boiled Peanuts 1.00

Hotdog 1.00 Pickles .50

Corndog 1.00 Coffee/ Hot Chocolate 1.00

Nacho & Cheese 2.00 Soda’s & Water 1.00

Corn Dogs and hotdogs will be donated by Robert Scott. Additional hotdogs will be donated by Steve Jones. Burgers, buns and mustard and ketchup packs will be donated by Burger King. Hotdog buns will be purchased at Flowers Baking Company. Drinks are already purchased. Members are encouraged to search for donations of Chile, sliced cheese, nacho and cheese, chips, pickles, napkins, plated, spoons, coffee and hot chocolate.

Lamar Kirkland will be in charge of setting up our cook area. The table set up will be as it was last year. Donna will create a sign for our booth. Members are asked to bring coolers, crock pots and fall decorations November 3. We will have a meeting at Old Mexico Monday, October 29 at 6:30 pm to discuss final plans for the fall festival.

Debbie Murphy has agreed to sponsor the funnel cake booth

New Business:

The Baconton Grandparents Booster Club will donate a chair to the Flint Rivers Arts Council for their auction. Donna personally purchased this chair for this purpose. Chelsea Dudley Humphries will paint the chair for us.

The next regular meeting will be Tuesday, November 13, 2007.

Minutes of September 11, 2007

 

Donna Shiver called the meeting to order at 7:00 pm on September 11, 2007, welcomed all attendees and led the group in prayer. Nine members were present. Members attending were Donna Shiver, Norma Gilpatrick, Bill and Janet Crane, Carole Pollock, Marsha Humphries, Sarah and Lamar Kirkland and Diane Johnson.

Treasury Report:

Donna reported the treasury information: Account balance $6.175.26.

Old Business:

Minutes of August 14th meeting were read. Motion to approve by Cindy. Second motion by Norma. Minutes approved. The minutes can now be viewed on the grandparent link on the BCCS web site.

New Business:

Volunteers are needed to haul the recycling cans to Albany Recycling. Anyone who may be interested needs to contact Cindy.

A Fall Festival meeting was held at 6:00 tonight to discuss policy and procedure for the event. Several grandparent members attended and exchanged the ideas at the meeting. Gabe Council and Amanda Barber are our faculty reps and Gloria Butler will be our parent helper.. The Fall festival will be November 3. All grandparents were asked to save this date. Preliminary plans for the event were discussed. Corn dogs will be added to our event menu and special precautions will have to be made because of the grease.

The PTO requested us to consider providing lunch for a fee for the volunteers that day. There was discussion of how this would interfere with our main event of the day, having adequate workers for the entire day, possibility running out of food too early for the main event and preparing ham sandwich meals. Cindy made motion not to accept this project. Carole made second. Motion approved not to offer a lunch menu for Fall Festival. The Grandparents Club encourages other school related organizations to consider this project; however, it is policy for any club or organization to approach the grandparents club for approval before the event .

Baconton Baptist Church also contacted Donna about a booth at Fall Festival. Carole made motion not to allow this booth or any other booth not connected to BCCS. Norma made second. Motion approved to not allow any outside clubs at the Fall Festival.

The funnel cake booth was also discussed. Motion made not to offer funnel cakes made by Cindy. Seconded by Carol. Motion approved. The grandparent club encourages another BCCS club or organization to take on this project.

There is no further information from Glenn Palmer concerning the high jump pit.

The next meeting will be October 8, 2007.

Door prize: Carole Pollock won the won the door prize- a picture frame.

Minutes of August 14, 2007

 

 

Donna Shiver called the meeting to order at 7:00 pm on August 14, 2007 and welcomed all attendees.  A prayer was led by Mike Lumpkin..  Eleven members were present.  Members attending were Donna Shiver, Norma Gilpatrick, Bill and Janet Crane, Mike and Gina Lumpkin, Bernetta Graham, Carole and Charles Pollock, Marsha Humphries and Sarah Kirkland.

 

Treasury Report:

The following treasury information was reported:  Account balance $5,785.26; last years can revenue to date is $1,866.35.  Can revenue total will begin again with the new school year.

 

Old Business:

A Grandparents Booster Club booth was at Open House to encourage membership.  New members were enrolled at this time.

 

A table with water and crackers was available to teachers during preplanning week.

 

New Business:

 

Carol Hays, President of the PTO, was present and encouraged us to participate in PTO.  Donna agreed to briefly speak at the next meeting to encourage membership and describe our accomplishments and goals.  Carol also forwarded to us the suggestion of corn dogs at the Fall Festival.

 

A  can drive is currently being held for August and September even though we are collecting cans the entire year.  Donna suggested  to give to each teacher a trash bag and note of encouragement to help us raise cans for money for our school.   The cans will be picked up or can be taken directly to the can wagon.  Norma made motion to place the bags in the classrooms, Gina Lumpkin made second.  Motion passed. 

 

Donna was given a new key for our storage room.  Master keys locks are now on all storage buildings and doors of the school.

 

On August 25, there will be a baseball tournament.  Volunteers are needed to take up tickets.  Donna accepted the hours of 8 – 12 on behalf of the Grandparents Club.

 

Fundraiser ideas were briefly discussed.  In addition to the fall festival, ideas of an ice cream sale at the ball tournament, Pizza Hutt discount card sales, yard sale, car tags, and raffle were briefly discussed.

 

Donna reported that Glenn Palmer  had requested the need of a high jump pit for the track team at an estimate of $2,500.00.  Mr. Palmer will be asked to give to us more details before we take action on this request.

 

The grandparents club contributed $200.00 for a catered seafood meal at the school on Tuesday, August 7, 2007.

 

The next meeting will be September 11, 2007.

 

Door prize:  Bernetta Graham won the won the door prize- a potted plant.
